Streamlining Student Registration: A UX Success Story

Replace a paper-based, manual process with an online, multi-lingual (10 languages at launch) registration tool for families to register their children for a religious scripture study class (Seminary.)

Solution

I led the design of a responsive, web-based registration tool to replace the paper forms, focusing on 3 distinct audiences:

  • Families registering their students.
  • Local ecclesiastical leaders (ward and stake) who were responsible for encouraging and overseeing student registration.
  • Church administrative staff who were planning for class sizes and where to assign teachers.

My role

  • Conducted user research (guerrilla interviews) to understand parent and local leader needs, prioritizing mobile-first design for quick and easy registration.
  • Created wireframes and a simplified user journey map to visualize the registration flow and convince key stakeholders to sign off on our approach.
  • Collaborated with developers to ensure a performant and user-friendly experience.
  • Developed “D.I.G.” (Design Implementation Guidelines, aka style guide or early design system) to streamline communication with the engineering team.

Impact

  • Increased registrations by 250% within 9 months (equal to 75% of all students globally), exceeding the initial target of 120,000 students (a large percentage of US-based students).
  • 75% of targeted students registered within 6 weeks, significantly streamlining the process.
  • Designed a leadership dashboard—not initially considered for the project—that became a critical, and much-loved, feature for monitoring the registration progress.

Afterward, I visited with a few people about this project. One comment that seemed to pop up a lot was, “It was so easy! We were done and had everyone registered in a week. I loved it!”

Learnings

This project exemplifies for me the transformative power of—even limited—user research to boost outcomes and user satisfaction. It also highlights how strong UX leadership—which requires a creating a collaborative team environment, ensuring clear cross-functional communication, and proactively addressing challenges—to deliver successful user experiences.
